Issuing certificates

Importing certificates from a CSV

Bring certificates from another tool or an existing catalogue into Authentica. Each row becomes a signed, verifiable certificate with its own QR code.

Moving from another certificate tool, or holding a catalogue of pieces you sold before Authentica? Import them from a CSV file and Authentica issues a verifiable, signed certificate for each row, with its own serial, QR code and verification page. This is how you bring your certificates with you.

Where to find it

Apps → Authentica → Certificates → Import CSV.

How to import

  1. Prepare the file

Your file needs a header row. The only required column is product, the item name. Up to 5,000 rows per file.
  2. Upload or paste

Choose the CSV file, or paste the rows straight into the page, header row first.
  3. Let it run

The import runs in the background, so you can leave the page. While it runs, the page shows how many rows have been processed and how many certificates were issued.
  4. Check the result

When it finishes, Last import finished shows how many certificates were issued, how many rows were skipped and how many went over your monthly limit. Every row that was not imported is listed with the reason.

Columns Authentica recognises

ColumnWhat it holds
productThe item name. Required.
serialKeep your existing serial number, or leave it blank and Authentica generates one in your numbering style.
buyerName, buyerEmailThe owner. With an email address you can send the buyer their certificate.
sku, gtin, variant, orderProduct and order references, kept on the certificate.
edition, editionTotalThe edition number and the edition size, for example 42 and 150.
productIdThe Shopify product ID, so imported pieces join that product's limited edition, with its size limit and no reused numbers.
issuedAt, expiresAtDates, for example 2026-01-15. An expiresAt date gives that certificate a valid-until date.
Any other columnBecomes a custom field on the certificate.

Importing a limited edition

With a productId column, each row is checked against that product's edition: a number above the edition size, or one already taken, is refused. If the import starts a new edition, its editionTotal sets that edition's size, and a later row with a different editionTotal is refused with a clear message, so one edition can never print two different totals. On Starter and Pro, imported pieces linked to a product can then be handed to new orders automatically. See Running an edition register.
